Estate Personal Assistant (Junior)

Our client, with a beautiful estate near Reading, is seeking a professional and dedicated Estate Personal Assistant to join their team. This varied and rewarding position offers the opportunity to play a key role in the smooth running of the estate’s administrative operations, events, and private affairs.

The ideal candidate will be highly organised, discreet, and genuinely interested in the operations of a private estate. This permanent role offers excellent scope for growth and development, making it an ideal opportunity for someone at the beginning of their career to build valuable experience within an estate setting.

Key Responsibilities:
Estate & Office Administration

  • Provide administrative and office support, including answering telephones, managing deliveries, and handling post
  • Maintain efficient filing and archiving systems (both electronic and paper-based)
  • Liaise with contractors and suppliers working on the estate, ensuring professional coordination at all times
  • Manage renewals for insurance and utilities, and assist in sourcing and engaging new suppliers when required
  • Support the estate’s online presence by updating the website, newsletters, and social media channels
  • Assist in the planning and coordination of estate events, including weddings, conferences, and functions

Personal Assistant (to two principals)

  • Provide personal support including returning parcels, assisting with technology, and organising family arrangements
  • Carry out general PA duties with the highest level of discretion and professionalism

Charity Administration

  • Manage charity correspondence and applications, ensuring accurate collation and record-keeping
  • Prepare documentation for biannual meetings, take minutes, and arrange donation payments
  • Maintain all financial records, receipts, and filing, and liaise with accountants for year-end reporting

Estate Shoot Administration

  • Draft and issue shoot contracts and invoices via DocuSign
  • Coordinate guest communications, menu selections, shoot cards, and invitations
  • Assist with event logistics and administration as required

Property & Tenancy Administration

  • Draft AST agreements and assist with property compliance
  • Liaise with contractors for maintenance and inspections
  • Update and monitor maintenance tasks using Notion
  • Maintain compliance documentation and filing systems

Livery & Grazing Licences

  • Draft and distribute contracts via DocuSign, maintaining accurate and organised records

Personal Assistant (Maternity Cover)
(This element of the role is temporary and may not continue in the future)

  • Provide comprehensive personal and household administrative support
  • Oversee correspondence, including email and post management
  • Coordinate family diaries, appointments, and travel itineraries
  • Arrange travel and accommodation for business and leisure
  • Manage household budgeting, expenses, and liaise with accountants and advisors
  • Handle insurance renewals, vehicle administration, and contractor payments
  • Organise household maintenance, improvements, and renovations
  • Plan and coordinate family and household events
  • Research and source products, services, and suppliers as required
  • Ensure the property is prepared for guests or travel (heating, groceries, cleaning, etc.)
  • Assist with pet care, including dog-walking and vet appointments
  • Support with school-related administration and childcare arrangements
  • Run errands and provide occasional transport assistance when needed

Candidate Requirements

  • A highly organised, proactive, and adaptable individual with exceptional attention to detail
  • A minimum of 2-3 years’ experience as a Personal Assistant in Private Households
  • Strong communication and interpersonal skills, with the ability to liaise confidently at all levels
  • Discreet and trustworthy, with experience handling confidential information
  • Confident IT user, familiar with Microsoft Office, DocuSign, and digital management tools
  • Previous experience within a private estate is advantageous

Location: Private Estate, near Reading
Start Date: As soon as possible
Contract: Full-time, Permanent
Salary: £35,000
Working Days: Mon - Friday, flexibility is required
Working Hours: 8:30am - 5:00pm
