Senior Private PA

We are seeking an experienced Senior Private PA to provide comprehensive support to a private household. The ideal candidate will have a minimum of 5 years of experience working in a similar role within a private residence.

This role requires exceptional organisational skills, attention to detail, and the ability to manage multiple tasks efficiently.  The PA will be responsible for a wide range of duties including personal assistance, staff management, and property management.

Key Responsibilities:

1. Personal Assistant Duties:

  • To support the Principal, acting as her right hand person and gatekeeper, and providing a primary point of contact
  • Proactively manage the family diaries, including appointments, meetings, booking restaurants and theatre, organise events and family occasions, whilst maintaining flexibility to accommodate changes
  • Coordinate travel arrangements, including booking flights, accommodation, and transportation, with a forward-thinking approach to ensure smooth logistics
  • Attend meetings with the principal and assist in arranging meetings with external parties, maintaining regular communication to keep the principal informed
  • Organise travel arrangements for the principals’ children and assist with their scheduling
  • Carry out personal tasks and errands

2. Staff Management:

  • Conduct staff appraisals and provide feedback to improve performance, demonstrating adaptability in managing diverse team dynamics
  • Arrange and attend meetings with household staff to discuss schedules, tasks, and any issues, maintaining open communication channels
  • Recruit new household staff as needed, including conducting interviews and coordinating onboarding, with a forward-thinking mindset to anticipate staffing needs
  • Manage administrative tasks related to household staff, such as payroll, contracts, and HR documentation, ensuring reliability and accuracy
  • Create and maintain staff rotas and schedules to ensure adequate coverage, adapting to changing priorities and requirements
  • Supervise the household team and provide guidance as needed, fostering a supportive and collaborative work environment
  • Conduct welfare checks to ensure the well-being of household staff, demonstrating care and empathy

3. Property Management:

  • Ensure the smooth running of the residences by overseeing day-to-day operations, with a proactive approach to address any issues promptly
  • Supporting the principal with the recruitment of new employees
  • Keeping the principal informed of all important matters relating to the household staff, properties, and schedules
  • Manage maintenance tasks and coordinate repairs as necessary, liaising with contractors and service providers, demonstrating reliability and efficiency
  • Source and manage utilities for the properties, including electricity, water, and internet services, with a forward-thinking approach to optimise cost-effectiveness
  • Update household manuals with relevant information and procedures for staff reference, maintaining accuracy and accessibility
  • Maintain inventories of household items and equipment, demonstrating attention to detail and organisation
  • Oversee the house for the principal's arrival, including stocking supplies and arranging amenities, with reliability and thoroughness
  • Oversee the close down of the property after the principal's departure, ensuring security and readiness for their return, demonstrating dependability and diligence

Candidate requirements:

  • Minimum of 5 years of experience working as a Personal Assistant in a private household
  • Minimum of 10 years' relevant work experience
  • Educated to a degree level or equivalent
  • Excellent IT skills
  • Strong organisational and time-management skills, with the ability to prioritise tasks effectively
  • Excellent communication and interpersonal abilities, with the confidence to interact with staff and external contacts
  • Proven experience in staff management, including recruitment, training, and performance evaluation
  • Knowledge of property management practices, including maintenance, utilities management, and inventory control
  • Discretion and professionalism when handling sensitive information and confidential matters
  • Flexibility to adapt to changing priorities and work outside of standard hours when necessary
  • Valid driver's license and willingness to travel to other properties regularly
  • Hands-on approach, forward-thinking mindset, and reliability are essential
  • Ability to maintain regular communication with the principals and assist with the grown-up children
  • Excellent checkable references

Location: Central London (this is not a hybrid role) with travel to other properties when required

Working days/hours: Full time, Monday-Friday, with flexibility to work out of hours

Salary: £80,000-£100,000 DOE
